Why we built Kontiva
If you speak with any private provider working with Arbetsförmedlingen, you hear the same refrain: the work is meaningful, but the systems are fragmented. A participant’s journey moves across scheduling, attendance, decisions, documentation, and reporting. Each step carries compliance obligations, yet the information is spread across spreadsheets, emails, and niche tools that never quite line up.
Kontiva is our answer to that reality. We set out to build a calm, dependable platform that gives providers one system of record and a layer of AI that removes the busywork without removing control. Our north star was simple: case managers should spend their time with participants and outcomes — not reconciling data between tabs.
The landscape providers operate in
Sweden’s labour market programs are designed to be rigorous and auditable. That’s good policy — but it means providers shoulder real operational load. A typical day involves:

None of those tasks are hard individually. The challenge is the orchestration: keeping every dependency in step and every record aligned while the day keeps moving. That orchestration is where software should excel — and where too often it doesn’t.
Design principles that guided us
We wrote these principles on a whiteboard before the first line of code and they still hold:
Put participants first. Data models and screens should mirror the real journey: onboarding → activities → decisions → outcomes.
Be opinionated about workflow, but never rigid. Templates and guardrails should standardise the essentials while leaving room for local practice.
Make AI an assistant, not an oracle. Agents should handle routine checks, reminders, and data entry, while humans keep the wheel.
Compliance is a feature, not a chore. Reporting and audit trails must be built in, not bolted on at the end.
Quiet UI, clear language. No noise, no jargon — just the right detail at the right time.
Architecture in brief
We chose a pragmatic architecture that balances reliability and speed:

An agent fabric that triggers on events (missed attendance, pending decision, late document) and performs safe, reversible actions
A reporting pipeline that renders AF ready exports from the same source of truth used by the team

A weekly export is ready for submission, and the system highlights one item that needs context from the case manager before it can be sent.

Security and compliance from the start
We built Kontiva with encryption in transit and at rest, role based access, and complete audit logging. We support DPAs and SCCs and offer EU data residency options. Our infrastructure leverages Azure and Supabase to match the reliability and compliance posture providers expect.
Early results and what we’re learning
In early pilots, teams report fewer manual steps per case, faster reporting cycles, and a noticeable lift in cross site consistency. The biggest win, however, is qualitative: people feel in control again. When systems get out of the way, craft returns.
Looking ahead
We’re expanding deeper analytics around scheduling and attendance, adding new agent skills for cross system data collection, and continuing to grow our library of AF reporting templates. The goal remains unchanged: reduce operational drag so providers can invest their energy where it matters most — with participants.
